Solutions Toolbox

Solutions Toolbox © is a proprietary tool developed to meet the needs and challenges of the non-profit community. This device encompasses three main modules: a database system to compile and maintain SCF and state counts on hundreds, or even thousands, of mailing lists; a robust analytical tool to maintain years of list and package results; and, a forecast module that utilizes data from the other two modules to predict future mailings.

The count tool is especially beneficial to all regional/chapter mailers. It enables us to keep counts in-house on our continuation list/segments, which are updated three to four times each year. The counts are maintained by SCF and state, and may be retrieved at the push of a button to populate a list plan. We can use population data from our Melissa Data in house census data database to estimate the percent of state or SCF for areas that are based on zip code selection and then populate the list plans with counts from the counts tool based on this percentage. Most companies would need to reach out for each mailing to retrieve the desired geography for each list, and this takes time. Specialized Fundraising Services has this data available at the click of a button to create a mail plans with accurate counts by region. We build on the number of lists in the database continually based on our list usage. This tool saves a tremendous amount of time in the planning stage for Specialized Fundraising Services clients.

The second module is the analytical tool, which houses results data from all clients in one SQL database. Each client is given a client code and assigned a sector so that we may view trends by sector of the industry. Results are entered for each mailing; each list is assigned a category code and each package a concept, theme, audience and format code. By taking the time to assign various tags to the packages and lists, we glean many views into the analytical process. The tool is quite vibrant, and we have numerous trend reports that are selectable by time frames and any of the factors we have assigned to the list and package.

In addition, we have a forecast builder, which allows us to define criteria and view those lists and package results that fit our criteria. The analytical tool is extremely flexible, and can grow and change with our needs.

The last module of Solutions Toolbox © is the forecasting model. We utilize the information from all modules of Toolbox and load it into the model along with current information such as list and package costs, retention rates, net names deals, and any LTV information we have, and then make final decisions on the list plan. The model allows us to view multiple scenarios to see which mixture of lists and packages at what volumes best meet the needs of that mailing in terms of each client’s budgetary goals. This can be customized according to each campaign and client’s needs.
